Debt Manager supports every stage, from pre-collection through collection, charge off and recovery.

During pre-collection and collection, Debt Manager integrates with your host system, which stays the system of record. At charge off, Debt Manager assumes the system of record role. It applies interest and fees, distributes payments across accounts and handles core account management from that point forward.

The financial engine underneath is fully configurable:

User defined balances and buckets

Define your own financial buckets, including principal, interest, penalty fees, court costs and collection charges. Create as many balance types as you need.

User defined payment types

Accept cash, check, mobile, online and PayPal payments. The system supports single and recurring payments, postdated checks and multiple tender types. Recurring payments process automatically at maturity.

Payment application and apportionment

Apply payments across accounts and buckets by a user defined sequence, percentage or a combination. The system tracks payments at the customer, account and bucket levels.

Prior period adjustments and reversals

Backdated adjustments recalculate accrued interest automatically. Reversals run individually or in batch. Each reversal links to the original transaction across every affected account.

Suspense payments

Debt Manager holds unapplied transactions, such as those with invalid account identifiers, for review. Users correct and reapply them, or refund any overpayment.

Interest and future balances

Calculate simple, complex or compound interest. Project any account's balance at a future date, factoring in anticipated interest and fees.

Fee and commission structures

Configure fee schedules to match your commercial arrangements.

Configurable, not customizable

Configurable decisioning and workflow automation

Debt Manager is configurable, not customizable. Business users adjust data elements, work management and rules through the interface. There's no code level change and no waiting on vendor releases.

The system ships with preconfigured processes drawn from years of strategic, operational, and consulting experience in collections. Once you've tailored an instance, clone it as a blueprint for other regions and adjust for local differences.

What business users can configure:

  • Workflow. Business processes, work queues, tags and rules, created or modified entirely in the UI.
  • User experiences. Custom interfaces by product, delinquency stage, user role or conditions like legal, bankruptcy or vulnerability. Collectors see exactly the data and actions they need, when they need them.
  • Product types and roles. Unlimited product types, each with its own thresholds, settlement rates and payment allocation. More than 2,000 privileges give administrators granular control over access.
  • User Defined Pages (UDPs). Add new customer and account data tables without a database analyst. UDP data drives segmentation, workflow, rules, reporting and the collector interface just like core data.
Workflows run two ways. Time based workflows execute a treatment strategy over a defined timeline. A high risk account might route to a collector after five days, while a low risk account gets room to self cure. Real time workflows respond to events instantly, routing a high risk account to legal review within seconds.

FitLogic, the decision engine inside Debt Manager, puts this logic in business users' hands. Author rules through visual decision trees and tables. Simulate strategies against historical or synthetic data before going live. Plug in predictive models for portfolio scoring and payment likelihood forecasting. Every decision flow is transparent and auditable, so compliance can review exactly how each outcome was reached.

Decisioning also works mid-conversation. When an agent detects signs of financial hardship, the system updates the account status and adjusts the collector's on-screen guidance in real time. Settlement proposals within approved terms can be accepted automatically. The rest route to a supervisor queue for same day review.

Reach customers where they are

Omnichannel communications and third party management

Debt Manager orchestrates outreach across mail, telephone, email, SMS, and more. Decision rules determine what message to send, when and through which channel. These decisions draw on consent, customer preference, and the likelihood of success from analytics.

Outreach runs proactively and reactively:

  • Proactive. A digital version of the collections call. The customer receives an email or SMS about their account, with messaging that escalates in urgency over time.
  • Reactive. After a payment arrangement is made by phone, an SMS confirmation goes out automatically. It summarizes the agreement and links to the app.

Debt Manager integrates with your existing dialers, letter vendors and communication providers. Or use FitComms, its built-in fulfillment service. FitComms substitutes tokens, constructs the message and delivers it over AWS's carrier network with full PCI compliance. It also reports performance across every channel.

For accounts placed externally, Debt Manager manages the full placement lifecycle with Debt Collection Agencies (DCAs):

  • Distribution. Route accounts to a specific agency or across a panel by debt type, balance or customer attributes, using rules configured in FitLogic.
  • Recall and replacement. Recall accounts automatically when the placement window expires or a customer raises a dispute. Route accounts to a secondary agency when a primary placement ends.
  • Reporting. Debt Manager captures every action and event, so you can evaluate recovery timelines, right party contact rates and agency effectiveness.
  • FitPortal. A secure, role based portal replaces the emails and spreadsheets agencies usually work from. Third parties search, view and act on authorized accounts, request extensions and retrieve documents. Everything is tracked with a full audit trail.
AI native

AI agents and data insights, built in

Debt Manager treats AI as a native capability, not an add on. Large language models, machine learning and an agentic framework are built into the platform and configured to your strategy and risk tolerance.

The agentic framework gives you a structured way to design, deploy and govern autonomous AI agents in collections workflows:

  • Data access. AI agents ingest data from Debt Manager and your own knowledge bases. The Model Context Protocol (MCP) connects them to internal and external sources and to other AI agents.
  • Multi-model approach. Built on AWS's AI services, the framework lets teams choose different models for different tasks rather than locking into one.
  • In the front end. AI agents surface through agent cards with next best action recommendations, chat widgets for assisted or self service interactions, and workflows that trigger actions automatically.
  • Governance. For regulated decisions like settlement offers, AI agents call FitLogic instead of relying on opaque reasoning. Every decision stays transparent, tested and auditable.

Reporting keeps pace through Ask Your Data Anything (AYDA) dashboards. AYDA updates dynamically from live Debt Manager data, so risk, performance and compliance views stay current through the day. Ask a question in plain language and AYDA returns a visualization or written summary. Auto generated highlights surface patterns and anomalies. Reporting stops being a technical team bottleneck.

Integration, security, and compliance controls

Debt Manager's open architecture connects to core banking systems, communications vendors, CRMs and third party applications.

  • Real time integration. More than 1,000 published REST APIs let external systems update fields, retrieve data and set up payment arrangements. Outbound callout services push and pull data with external systems in real time.
  • Batch integration. The XML-based Bulk Data Loader handles imports and exports. Business users configure table data imports and exports through the UI, with no vendor involvement.

Compliance is configurable, not hardcoded. Build rules by geography, legal jurisdiction or internal policy, and update them as regulations change. Filters, tags and rules route accounts automatically based on compliance requirements.

Controls extend to the collector's screen:

  • Real time alerts when a collector is about to exceed outreach frequency limits or contact outside permitted hours.
  • Restricted actions, such as blocking a call or message when compliance conditions aren't met.
  • Mandatory validation steps before sensitive actions like payment arrangements or legal escalation.

Debt Manager maintains a complete audit trail of every action on a customer's record, including automated decisions.
